Inventory Supervisor Job Duties and Responsibilities

In addition to all the responsibilities of an Inventory Associate, Supervisors are responsible for receiving, building, deploying, tracking, and occasionally transporting products. Adherence to hygiene and sanitation requirements is required. Inventory Supervisors ensure compliance through accurate inventory management -- organizing, tracking, counting, and selling. Supervisors follow operations processes and workflows, and provide feedback to improve any such protocols. Supervisors train and coordinate the work performed by Inventory Associates, and are an integral part of all front of house activity too. Supervised by Inventory Management.


Responsible for continuous coordination of inventory through various process stages:

  1. Procurement: monitor facings, post stock alerts, initiate activity workflows.

  2. Intake: accurately receive material from suppliers, process physical documentation and electronic records, complete ledger entry for accounting department.

  3. Deployment: employ software and staff to build, label, organize, and locate.

  4. ESL: utilize digital signage platform through product lifecycle.

  5. Control: investigate, count, track, and monitor across all databases.


Summary of Key Responsibilities

Informed by a Balanced Scorecard approach, responsibilities and essential job functions include but are not limited to the following: 


Customer Relationship


  • Actively drive inventory life cycle flow through the organization: directly participate in team and packaging tasks. Print and apply stickers according to User Guides, stock shelves, execute merchandising plans, share supplier info with the Retail team.

  • Troubleshoot inventory issues in POS. Support Retail department with immediate investigations and resolutions. Initiate trouble tickets with software vendors, monitor progress and report on outcomes.

  • Assist Inventory Manager with inventory processing in POS software, document storage, activity management systems.

  • Research and perform data entry to ensure Product Catalogs are up to date. Ensure dynamic pricing is optimized and online menus complete with images, brand, and product details.

  • Connect, discover and respond to customer needs while working retail and packaging shifts weekly. Provide legendary customer service to guests and staff.


Learning & Leading


  • Process returns daily, update vendor credit sheets, and keep track of the entire digital and physical documentation trail.

  • Ensure state compliance through accurate inventory management. 

  • Make consistent and accurate adjustments to inventory. Digitally and physically move items in stores and between stores. Transfer products between licenses. 

  • Participate in, coordinate and delegate stocking and stickering tasks with staff. 

  • Organize inventory storage areas. Labels racks and bins for awareness. 


Processes & Technology 


  • Maintain a continuous record of inventory life cycle using management systems, audit tools, and activity tracking software.

  • Continuously update product trail. Revise workflows, POS and ESL. Organize and close package tags. Create stock alerts. 

  • Track active and inactive inventory in POS. Discover and correct inventory discrepancies.

  • Assist Supplier intake preparations. Ensures order accuracy: purchase order = manifest = invoices match. Manifest and deliver products to retail locations. 


Financial Stewardship


  • Understand the monetary value of inventory. Provide assurance that inventory will be well-safeguarded, appropriately managed, and proper records maintained.

  • Ensure punctual and accurate recording of the approved adjustments in the inventory management system.

  • Reconcile physical inventory counts to inventory records (whether periodic or perpetual).

  • Label items when put in stock to make later identification and valuation possible.

  • Follow procedures and protocols of User Guides. Suggest updates and improvements to those written procedures detailing how inventory is tracked and managed, protected from theft or physical damage, and how obsolete inventory is determined.
